Event and performance scheduling
AI-First Delivery
One Platform for Every Rehearsal, Rental, and Show
VenueArc is community theatre management software that brings scheduling, venue bookings, rentals, and reporting into one system so your team spends less time untangling spreadsheets and more time putting on the show.
Built for the way community theatres actually operate: multiple spaces, a rotating cast of volunteers, tight budgets, and a season calendar that never stops moving.

Operational Friction Points
Double bookings
A rehearsal room gets booked for auditions and a board meeting at the same time, and nobody finds out until both groups show up.
Spreadsheet scheduling
One version lives on a shared drive, one lives in an inbox, and the real one is whichever was updated last.
Volunteer coordination
Front-of-house, stage crew, and box office volunteers are hard enough to recruit without chasing availability every week.
Rehearsal conflicts
A single production can generate dozens of holds across spaces. One missed conflict can cost a full rehearsal.
Limited budgets
Enterprise venue software is priced for performing arts centers with full-time IT staff, not two part-time administrators.
Communication breakdowns
Directors, stage managers, and the front office work from different versions of the schedule.
Venue rental management
Renting your space for weddings or recitals means chasing contracts, deposits, and insurance by hand.
Reporting challenges
At budget time, pulling revenue and utilization together means reconstructing the season from memory and receipts.
Why ARC
What Changes When It Is One System
Fastest path to cleaner operations, fewer conflicts, and stronger reporting.

How It Works
From hold requests to settlement reporting in one seamless flow.
Managing a theatre season

Scheduling rehearsals
Coordinate rehearsal blocks across productions sharing the same rooms, with holds that convert to confirmed bookings.
Coordinating productions
Give directors and stage managers one view of schedule, space, equipment, and volunteer assignments.
Renting spaces to external organizations
Handle weddings, recitals, and community rentals in the same system as internal productions.
Managing special events and fundraisers
Book galas and fundraisers alongside your season calendar without colliding with tech rehearsals.

The Settlement Report
Manual work
Hours spent building and re-sending schedules by hand go toward production instead.
Scheduling accuracy
Automatic conflict detection catches double bookings that used to cost a rehearsal or an awkward call.
Venue utilization
Clear visibility into open dates makes it easier to say yes to more rentals - idle space becomes revenue.
Operational transparency
Your board gets accurate, real-time numbers instead of a reconstruction project at budget season.
Decision-making
Season-level reporting on space usage and rental income informs expansion, pricing, and programming calls.
Every number, accounted for.
Frequently asked questions
- How does VenueArc handle performance holds?
VenueArc lets you place holds on spaces for specific dates, convert holds into confirmed bookings, and release or transfer them as production needs change.
Holds are essential in theatre because so much of a season is provisional for months. You need a date reserved while a director confirms availability, a rights agreement is negotiated, or a co-producer decides — and until then it is neither free nor booked.
Without a formal hold, that ambiguity lives in someone's memory or a note on a shared calendar, which is how a rehearsal room ends up promised to two productions. A hold makes the commitment visible to everyone: the space shows as spoken for, but it is clearly not confirmed. When plans firm up, the hold converts without re-entering anything; when they collapse, releasing it returns the date to availability immediately rather than leaving it informally blocked.
- Can VenueArc generate our rental agreements and event contracts?
Yes. VenueArc's contract module generates facility-rental agreements and event contracts from your templates, tracks signatures, and keeps terms and fees organized in one place.
For community theatres this usually matters most on the rental side. Renting the house for a wedding, recital, or corporate booking is often meaningful income, but it is administered by whoever happens to be free — which produces inconsistent terms, agreements assembled by copying last year's, and deposit tracking that lives in someone's inbox.
Generating from a template means every renter is held to the same stated conditions on damage, insurance, cancellation, and payment. Because the agreement stays attached to the booking, anyone checking the calendar can see whether a rental is under contract and signed, without going to look for the paperwork.
- Does VenueArc support ticketing integration?
Yes. VenueArc integrates with Ticketmaster and Tessitura, so your booking system and ticketing platform stay in sync — reducing reconciliation work between front-of-house and back-of-house.
These systems solve genuinely different problems. Ticketing handles public sales, seating, and patron accounts. VenueArc handles the space itself: which venue the performance occupies, the rehearsals leading up to it, crew and setup requirements, and how the run settles financially.
Kept separate, the same production is entered twice and the two records drift — a performance moved in one system but not the other, or box office figures that need manually matching to the booking they belong to. Integration does not require migrating patron data: your ticketing platform stays authoritative and VenueArc references it, so the box office team changes nothing about how they work.
- How does settlement reporting work?
After each event, VenueArc produces a settlement report reconciling revenue, expenses, fees, and deposits — in minutes rather than hours.
Settlement is where most community theatres lose the largest amount of administrative time, because the inputs are scattered. Box office income sits in the ticketing platform, rental fees and deposits in one spreadsheet, production expenses in another, and staffing costs somewhere else again. Assembling these by hand is slow and, more importantly, easy to get wrong.
Because bookings, contracts, and fees already share one record, settlement reads from data that is being maintained anyway. That changes what is realistic to know: instead of reconciling the season at budget time, you can see how each production actually performed while there is still time to act on it.
- Can VenueArc manage multiple performance spaces?
Yes. If your theatre has a main stage, a black box, rehearsal rooms, and a lobby event space, VenueArc manages bookings and conflicts across all of them simultaneously.
Multi-space theatres generate conflicts that single-space venues never encounter, and they rarely involve the stage itself. A production in tech week needs the main stage, a rehearsal room, and the load-in corridor at once; meanwhile a rental in the lobby requires access through a space the crew is using.
Checking availability space by space misses exactly these overlaps, because each individual room looks free. Managing every space in one system means a booking is validated against everything it actually touches — including shared resources like the only portable sound system, which is often the real constraint rather than the room.
